Position Summary

The Legal Operations Manager leverages data driven tools to establish and administer an efficient management system for the Legal Department to operate smoothly and effectively. The Legal Operations Manager recommends and implements process improvements, technology innovation and adoption, and operational changes to increase Legal Department productivity.

The position is located in the Stamford, CT office and is under the general supervision of a SMD Regulatory Attorney (SMD).

Key Responsibilities

  • Acts as advisor to the Legal Department with respect to continuously improving Legal Department operations and effectiveness while identifying opportunities for cost savings.

  • Manages legal operations to support the Legal Department in optimizing technology solutions to improve operational efficiencies and expense management.

  • Advises on needed process or technology upgrades, and partners with IT on updates and implementation of new technology systems.

  • Responsible for record retention and document management systems. Efficiently maintains, manages, and archives digital and hardcopy files and databases. Streamlines information and resource sharing within the Legal Department by developing and implementing document tracking conventions and organizing shared data repositories.

  • Supports process to manage Legal Department Policies and Procedures and internal communications, such as regular team meetings, build out of ongoing legal risk management function, and tracking status and priority of ongoing Legal Department projects.

  • Implements legal billing/matter management system and serves as central point of contact and manager of the billing process, including tracking law firm rates and discounts, alternative and fixed priced billing and compliance with policies and billing guidelines.

  • Develops and implements process for use of outside counsel and other vendors.

  • Implements e-discovery system and administers litigation hold process.

  • Manages Legal Department professional development opportunities and other Legal Department events.

  • Develops and implements appropriate metrics and benchmarking to measure the Legal Department’s key performance indicators and creates and distributes regular reports and dashboards. 

  • Stays abreast of legal operations industry trends and best practices and advises the Legal Department accordingly.

  • Serves as the Legal Department’s First Line Control Officer who maintains the Process Inventory, prepares the Department Operational Risk and Control Assessment Plan, identifies and logs any control weaknesses or deficiencies, and tracks to completion.

  • Maintains the Legal Department’s Business Continuity Plan.

Education, Experience and Skill Requirements

  • Candidates with advanced degrees (Associates, Bachelor’s, and/or Master’s) preferred, yet a High School diploma or GED is required.

  • Familiarity with legal departments and organizations preferred.

  • At least five (5) years of experience in a financial services company or law firm with one (1) year of relevant experience related to legal operations, and experience with legal matter management software preferred.

  • Excellent project and change-management skills; highly organized and detail-oriented.

  • Self-motivated, proactive, must have the ability to work independently with minimal supervision.

  • Strong time-management skills and multi-tasking ability, while prioritizing conflicting demands.

  • Excellent problem-solving skills.

  • Ability to work under pressure and meet deadlines, while maintaining a positive attitude.

  • Excellent interpersonal and communication skills; works well in team environments, and strong relationship-building skills.

  • Additional requirements include comprehensive knowledge of Microsoft Excel and Word and Adobe PDF.

The estimated salary range for this position is $90,000 USD to $105,000 USD. Actual salary may vary up or down depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position is eligible for incentive compensation.
